Compliance Software

NextPage® Control allows your business to manage and retain documents in accordance with current retention regulations.
Looking for compliance software that will help you manage and retain your company documents? From spreadsheets to contracts, and from proposals to presentations, your company creates hundreds of thousands of documents every year, and on average, one in four of those documents is subject to regulatory compliance (Vanson Bourne Consultancy). NextPage Control compliance software can manage and retain all of your company documents and doesn’t require you to change the way that you work. With NextPage, users can use the tools that they are already familiar with, such as email and Microsoft Office applications and still help the enterprise manage the risk of documents on the desktop.

NextPage Compliance Software

The NextPage Control compliance software is built on NextPage technology, which securely tracks your documents across email, desktops and servers. Other retention products offer centralized solutions, which only retain and purge documents if users remember to store documents on the centralized server. However, the process of trying to remember which documents are subject to retention regulations and which documents should be saved and which documents should be purged, is a time consuming and expensive task that most users don’t do. The NextPage Control compliance software can track any document version and Microsoft Office project file and manage those documents which are subject to retention regulations. You don’t have to remember every detail of the retention process because NextPage takes care of it for you.

How Does NextPage Compliance Software Work?

The NextPage Control product starts working the moment you install the NextPage client on users’ desktops. After you install the NextPage client, your business and NextPage begin the following process:
1.The NextPage Control starts working the moment you install the NextPage client on users’ desktops. After you install the NextPage client, your business and NextPage begin the following process:
2.NextPage then tracks those documents and lets you know who has each version of a document, where each version is located, when each version was reviewed and which versions have been retained and purged
3.At any point during the document lifecycle, you can also upload any given version of that document to your centralized server, where it will be appropriately archived in accordance with company retention policies.
4.At the conclusion of a project, the project manager can send a purge request to all the workers on the project. The manager will then be able to view who has purged their document copies and who still has outstanding copies. He or she can also see if the appropriate documents have been uploaded to the centralized server.
